Free Signature Maker for Email — Gmail, Outlook & Apple Mail Setup

A handwritten signature image in your email gives every message a personal, professional touch that typed text cannot match. Draw your signature once, download it as a PNG, and add it to Gmail, Outlook, or Apple Mail in under 5 minutes.

Step 1: Create Your Signature Image

  1. Open Signature Pad
  2. Set pen color to black or dark blue (these reproduce best in email clients)
  3. Set pen thickness to medium (too thin gets lost in email; too thick looks heavy)
  4. Draw your signature
  5. Download as PNG — transparent background is essential for clean placement in emails

Step 2: Optimize for Email

Before uploading to your email client, optimize the image:

Gmail Setup

  1. Open Gmail and click the gear icon (top right)
  2. Click "See all settings"
  3. Scroll down to the "Signature" section
  4. Click "+ Create new" (or edit your existing signature)
  5. In the signature editor, click the image icon (mountain/picture icon in the toolbar)
  6. Upload your signature PNG file
  7. Position it in your signature block — typically below your name and above contact info, or at the very end
  8. Set "Signature defaults" — choose which signature to use for new emails and replies
  9. Scroll down and click "Save Changes"

Gmail tip: After uploading the image, click it and select "Small" or "Medium" size if it appears too large in the editor. Gmail may display the image larger in the editor than it appears in sent emails.

Outlook Setup (Desktop)

  1. Open Outlook and go to File > Options > Mail
  2. Click "Signatures..."
  3. Click "New" to create a new signature or select an existing one to edit
  4. In the editor, click the image icon
  5. Browse to and select your signature PNG file
  6. Resize the image by clicking it and dragging the corner handles
  7. Add your text information (name, title, phone) above or below the image
  8. Set the signature as default for new messages and replies/forwards
  9. Click OK

Outlook Setup (Web / Outlook.com)

  1. Go to Settings (gear icon)
  2. Click "View all Outlook settings"
  3. Navigate to Mail > Compose and reply
  4. In the signature editor, click the image button to insert your PNG
  5. Arrange text and image positioning
  6. Toggle "Automatically include my signature" for new messages and replies
  7. Click Save

Apple Mail Setup (Mac)

  1. Open Mail and go to Mail > Settings > Signatures (or Preferences > Signatures on older macOS)
  2. Select your email account and click "+" to create a new signature
  3. Drag your signature PNG file from Finder directly into the signature editor
  4. Add your text information around the image
  5. Set the signature as default using the dropdown at the bottom
  6. Close Settings — it saves automatically

Apple Mail tip: Make sure "Always match my default message font" is unchecked if your signature includes specific formatting. This prevents Mail from overriding your signature layout.

A complete professional email signature combines your drawn signature with essential contact info:

Keep it concise. A signature longer than 6 lines of text plus the image starts to feel excessive. Skip inspirational quotes, legal disclaimers (unless legally required), and multiple social media icons.
