How to Make a Flowchart — Free Step-by-Step Guide for Beginners

Last updated: April 20266 min readDiagram Tools

A flowchart is a visual map of a process — boxes for steps, diamonds for decisions, arrows for flow. You can make one in under 2 minutes with the flowchart maker: type your process steps as text, and the tool draws the diagram.

Flowchart Symbols — The Only 4 You Need

SymbolShapeMeaningExample
Start/EndOval (rounded)Beginning or end of the processStart, End, Done
ProcessRectangleAn action or taskCheck inventory, Send email, Calculate total
DecisionDiamondA yes/no or true/false questionIs order > $50? Is user logged in?
ArrowLine with arrowheadDirection of flow between stepsConnects all shapes in sequence

That is it. Four symbols cover 95% of all flowcharts. Do not overcomplicate it.

Step-by-Step: Make Your First Flowchart

  1. Define the process — what starts it, what ends it? Write the first and last step
  2. List every step in order — do not worry about decisions yet, just the main path
  3. Identify decisions — where does the process branch? What yes/no questions determine the path?
  4. Connect with arrows — each step flows to the next. Decisions branch into two paths (yes/no)
  5. Open the flowchart maker and type your steps as text
  6. Export as PNG or SVG — PNG for documents, SVG for presentations

Example: Customer Order Flowchart

Here is a simple order processing flow described in text:

Type this into the flowchart maker and it renders a clean diagram with proper symbols and layout.

Common Flowchart Mistakes

MistakeWhy It Is BadFix
Too many stepsUnreadable, nobody follows itKeep under 15 steps. Break into sub-flows
No clear start/endReader does not know where to beginAlways include Start and End ovals
Missing decision branchesLeaves gaps in the processEvery diamond must have 2+ exit paths
Crossing arrowsConfusing spaghetti diagramRearrange layout to eliminate crossings
Too much text in shapesShapes become unreadableUse short labels. Add detail in documentation
No arrow directionAmbiguous flowEvery arrow must point clearly to the next step
