You have a raw transcript from Zoom, Teams, or Google Meet. It has speaker names, timestamps, and everything that was said — but it reads like a conversation, not meeting minutes. Here is how to turn it into organized meeting minutes in about 2 minutes, for free.

Step 1: Getting the Transcript From Your Meeting Platform

Before you can convert, you need the text. Here is where to get it on each platform:

Zoom: After a recorded meeting, the transcript appears in your Zoom account under Recordings. For live transcript only (no video saved), enable Live Transcript during the meeting — the text is available in meeting details afterward. Download as .txt or .vtt.

Microsoft Teams: Start Transcription (not Recording) at the beginning of the meeting. After the meeting, the transcript appears in the meeting chat and in the recording/transcript tab. Download as .docx or copy from the sidebar.

Google Meet: Google Workspace users can enable Transcripts in meeting settings. The transcript appears in Google Drive after the meeting ends. Non-Workspace users can use the closed captions and manually copy the text.

Webex: Webex generates transcripts for recorded meetings. Available in the Webex app under Recordings.

Step 2: The AI Conversion Method (2 Minutes)

Once you have the transcript text:

  1. Copy the transcript content (select all, copy)
  2. Open the free AI meeting notes tool in Chrome or Edge
  3. Paste the transcript into the text area
  4. Click "Extract Action Items"
  5. The AI reads through the full transcript and extracts:

This is your meeting minutes draft. Copy it and paste into Word, Google Docs, Notion, or email.

Step 3: Cleaning Up the AI Output

The AI output is usually good enough to send directly after a quick review. But a few things to check:

For most one-hour meetings, review takes 2-3 minutes. Add any missing items and you're done.

When Not to Use AI for This

A few situations where you should be more careful:

Handling Long Transcripts (Multi-Hour Meetings)

For very long meetings (2+ hours), a single paste often works but the output may miss details. For better results with long transcripts:

  1. Break the transcript into logical sections by agenda item or time block
  2. Process each section separately
  3. Combine the outputs into a single set of minutes

Alternatively, process the full transcript and then do a manual pass through the original to catch anything missed. The AI handles the structure; your scan handles the completeness check.

For meetings longer than about 2 hours, consider whether you need full minutes or just the decisions and action items. A two-hour strategic planning session might produce 10 decisions and 15 action items — that's what the minutes should capture, not a summary of every discussion point.

Frequently Asked Questions

Does the free AI tool work with .vtt or .srt transcript files?

The tool accepts pasted text. If your transcript is in .vtt or .srt format, open the file in any text editor, select all text, and paste into the tool. The timestamps and formatting do not affect the AI output — it reads the dialogue content.

Can I use this method for transcripts in other languages?

The AI works best with English transcripts. For other languages, results vary. If you have a foreign-language transcript you need to process, translating it first then processing the English version will produce better results.

What if the transcript is too long to paste at once?

There is no hard length limit on what you can paste. Very long transcripts may take slightly longer to process (15-30 seconds instead of 5-10), but the tool handles them. If you experience issues, split into sections as described above.
