PDF File Size — What Makes PDFs Large?

PDF ContentTypical SizeCan It Be Compressed? How Much Reduction
Text only (no images)50-300KB for 100 pages~Barely5-15% (already small)
Text + a few images1-5MB✓ Yes40-70% reduction
Image-heavy (slides, brochures)5-20MB✓ Yes50-80% reduction
Scanned pages (each page is an image)10-50MB✓ Yes40-70% reduction
CAD/vector drawings5-100MB~Moderate20-40% (vectors compress differently)

Target Size Guide

TargetStarting SizeQuality SettingExpected Result
Under 5MB10-20MBMedium (65%)✓ Usually achievable — images get re-encoded at lower quality
Under 2MB5-10MBMedium (65%)✓ Achievable if PDF has compressible images
Under 1MB3-5MBLow (40%)~Depends on image count and resolution
Under 500KB1-3MBLow (40%) + page reduction~May need to remove pages or reduce dimensions
Under 100KBAny size with imagesNot with compression alone✗ Need to extract text, remove images, or create text-only PDF

Step-by-Step: Hit Your Target Size

  1. Drop your PDF into the compressor
  2. Compress at Medium quality (65%) — check the before/after size
  3. Still too large? Options:
  4. Text-heavy PDF barely shrinks? That is normal. A 200KB text PDF cannot be compressed to 50KB — the text data is already compact

Real-World Scenarios

Government Form Upload (Max 2MB)

Government portals notoriously have small upload limits. If your scanned form is 8MB:

  1. Compress at Medium quality — likely gets to 3-4MB
  2. If still over 2MB, scan at 150 DPI instead of 300 DPI (halves the file size)
  3. Convert color scans to grayscale if the form is black and white

Email Attachment (Under 10MB recommended)

While email allows 25MB, many corporate mail servers reject attachments over 10MB. Compress at Medium quality. If sending multiple PDFs, compress each one individually — the batch compressor handles multiple files at once.

Website Download (Fast loading)

PDFs served on websites should be under 2MB for reasonable download times. Compress at Medium quality, flatten any form fields, and strip metadata. For large catalogs or reports, consider splitting into chapters.

When Compression Is Not Enough
