Most rejected applications are preventable. Before you hit "Apply," running through a 15-point ATS checklist takes less than 10 minutes and catches the formatting errors, missing sections, and keyword gaps that quietly disqualify otherwise strong candidates. Formatting Checks (Items 1–5)

  1. Single-column layout. No multi-column sections, tables, or side bars. Verify by reading your resume text top to bottom — it should flow logically in a single stream.
  2. No text boxes. Select all text in your Word document (Ctrl+A). Text inside text boxes is not highlighted with the rest. If contact info or skills are in a text box, move them out.
  3. Standard fonts only. Arial, Calibri, Times New Roman, Garamond, or Georgia. No decorative fonts that may not render on all systems.
  4. No images or logos. Your photo, company logos, skill bar graphics — all should be removed. They are invisible to parsers.
  5. No header/footer content. Name, email, or page numbers in the document header may not be extracted by all ATS. Move contact info into the document body.

Section and Structure Checks (Items 6–9)

  1. Standard section headings. Experience (not "What I've Done"), Education (not "Academic Background"), Skills (not "What I Know"). Check each heading against the standard list.
  2. Contact info is complete. Full name, professional email, phone number, and location (city, state). LinkedIn URL is a bonus. No mailing address required.
  3. Experience section is present. If you have work experience, it must be in a section the ATS can find. An absent or mislabeled experience section dramatically lowers your score.
  4. Education section is present. Degree, institution, graduation year. If you are a student, include expected graduation date.

Content Quality Checks (Items 10–13)

  1. Action verbs on all bullets. Every bullet point in your experience section should start with an action verb: Led, Built, Managed, Designed, Increased, Reduced, Delivered. Replace "Responsible for" and "Helped with" throughout.
  2. At least 3 quantified achievements. Numbers tell both ATS and humans that you had measurable impact. Percentages, dollar amounts, team sizes, timeframes. "Increased sales by 23%" beats "improved sales performance."
  3. Skills section is populated. A dedicated Skills section with relevant tools, technologies, and competencies helps ATS keyword matching enormously. It is a concentrated zone of searchable terms.
  4. Resume length is appropriate. 1 page for under 5 years experience, 2 pages for 5-15 years, up to 3 pages for senior executives. Very short resumes (under 400 words) score lower on some ATS systems because there is not enough content to analyze.

Keyword and Final Checks (Items 14–15)

  1. Keywords match the job description. Paste the job description into the ATS checker alongside your resume. Review the missing keywords list. Add any terms you actually have experience with but have not used the exact same language for.
  2. Run the ATS checker one final time. After all edits, run the ATS checker again to confirm your score has improved and no new flags were introduced. A final score of 80%+ means you are ready to submit.

Should I keep two versions of my resume?

Many professionals maintain two versions: an ATS-optimized plain text version for online applications, and a designed version for in-person meetings, networking events, and direct email submissions. The ATS version sacrifices visual design for parse-ability; the designed version sacrifices parse-ability for visual impact.

How often should I update my resume for ATS?

When switching job targets, updating your skills section reflects current tools and certifications. When the job market changes (new in-demand skills emerge), updating keywords keeps your resume competitive. At minimum, refresh the ATS check whenever you actively begin a new job search.
