Add Text to Every Page of a PDF — Headers, Footers, Stamps (Free)

Last updated: April 20268 min readPDF Tools

You have a 47-page contract and your legal team needs "CONFIDENTIAL" stamped on every page before sending it to opposing counsel. Or you have a 20-page report that needs your company name in the header and the date in the footer. Doing this page by page would take forever. Here's how to add text to every page of a PDF in one step.

How It Works (30 Seconds)

  1. Open the PDF Text Adder.
  2. Drop in your PDF.
  3. Type the text you want on every page.
  4. Select "All Pages" from the page dropdown.
  5. Choose position, font, size, and color.
  6. Click Add Text. Download.

Every page now has your text in exactly the same position. A 5-page PDF or a 500-page PDF. Same process, same speed.

Add text to every page of your PDF. One click.

5 Use Cases for All-Page Text

1. Confidentiality Stamps

Legal documents, internal reports, draft proposals, and NDA materials often need a visible stamp on every page. Here's how to set it up:

This places a large, visible red stamp in the center of every page. Anyone flipping through the document sees it immediately. This is standard practice for legal document handling and corporate compliance.

2. Document Headers

Reports, proposals, and multi-page letters often need a header identifying the document or the organization.

Gray text at 10pt creates a professional, unobtrusive header that identifies the document without competing with the main content.

3. Document Footers

Footers typically carry dates, revision numbers, classification labels, or disclaimers.

4. Draft Watermarks

Before a document is final, you might circulate drafts for review. Marking every page as a draft prevents someone from treating an unfinished version as final.

For a diagonal watermark that covers more of the page, use the dedicated Watermark tool instead. The text tool places text horizontally at the center; the watermark tool angles it diagonally for a more traditional watermark look.

5. Reference Numbers and Labels

Insurance claim documents, court filings, and academic submissions sometimes require a reference number or case number on every page.

Adding Both a Header AND a Footer

The tool adds text to one position per run. To add both a header and a footer, run the tool twice:

  1. First pass: Add your header text (Top Center, All Pages). Download the result.
  2. Second pass: Open the modified PDF from step 1. Add your footer text (Bottom Center, All Pages). Download the final version.

The header from the first pass is preserved when you add the footer in the second pass. Both appear on every page in the final PDF.
